Reporting to the Vice President of Philanthropy & Engagement, the Philanthropy & Engagement Associate is responsible for supporting the daily functions of the department, including all administrative tasks associated with the school’s fundraising and alumni engagement activities. The role of the Philanthropy & Engagement Associate is critical to the department, as this individual is responsible for gift entry, reporting, and donor acknowledgements, and will support all philanthropy & engagement events. This position requires an individual with a keen attention to detail, excellent written and verbal communication skills, superb organization, the ability to multitask, and the desire to work collaboratively with all members of the department.
Primary Responsibilities:
- Data Management & Systems Thinking
- Process and manage donor and gift information, pledges, and acknowledgments with precision, supporting the Donor Database and Prospect Research Manager.
- Execute quarterly pledge reminders for annual, event, and leadership giving.
- Maintain data integrity for STA’s constituent database, ensuring accuracy in address, contact, and relationship records.
- Produce constituent reports, mailing lists, mail merges, and volunteer data lists with high accuracy.
- Stay current on system updates; identify and implement efficiencies in data management, reporting, and mailing processes.
- Project Management
- Manage daily tasks related to donor acknowledgments, while planning and executing long-term data projects.
- Collaborate with the VP and Director of Philanthropy & Engagement to create solicitations, invitations, and stewardship mailings.
- Contribute to the production of quarterly department newsletters for various constituent groups.
- Event Support & Team Collaboration
- Actively participate in planning and executing alumnae, donor, and schoolwide events, including the preparation of materials (e.g., name tags, signage, and swag).
- Assist with volunteer management.
- Support the mission of STA by promoting cultural competency and an anti-bias approach in all interactions and work.
- General Office Support
- Schedule and reserve rooms, request setup for committee meetings, and manage general office support tasks.
- Serve as the first point of contact for the Philanthropy & Engagement Office, greeting visitors and handling inquiries.
- Perform other duties consistent with department goals or as assigned.

Qualifications:
- At least two years of related work experience in fast-paced, detail-oriented work environment with a track record of success in data management
- Prior work experience in a school environment is a plus
- Knowledge of Veracross/Axiom is preferred
- Excellent computer skills; preferred proficiency in Windows, Microsoft Word, Excel, PowerPoint
- Familiarity with Canva, Constant Contact, One Cause/BidPal, and Classy is a plus
- Excellent verbal and written communications skills, personal initiative, and organizational skills
- Strong proofreading skills
- High level of professionalism and confidentiality
