Blue Valley Educational Foundation Business Manager
Purpose Statement
The job of Blue Valley Educational Foundation Business Manager is done for the purpose/s of managing daily financial and administrative operations of the Blue Valley Educational Foundation fund raising goals; grant application processing, supporting the Secretary to the Board and various committees and fundraising events; and serving as a representative of the Foundation in raising District and community awareness of the Foundation's activities and goals. This position works closely with the Foundation team to keep financial and administrative operations on schedule and progressing with a high level of visibility and momentum and supports fundraising and event efforts to meet established goals and objectives.
Essential Functions
Manages annual designated scholarship process to include processing applications, scheduling donors review and award selection, and managing distribution of funds for the purpose of ensuring accurate financial documents and donor recognition.
Manages the grant award process to include transportation, Surprise Squad volunteers, distribution schedule, communication with district staff, grant making materials including Surprise Squad checks for the purpose of ensuring funds are transferred to grant winners and volunteers are recognized.
Manages grant applications and grant cycles to include preparation of applications for committee review for the purpose of ensuring correct and coordinated distribution of grant funds.
Manages the Foundation's annual financial audit to include coordinating annual audit visit, preparing requested financial documents, coordinating with the Foundation accountant, and responding to inquiries for the purpose of ensuring the Foundation follows established accounting practices.
Performs a wide variety of administrative functions to include processing financial responsibilities of the Foundation, providing tax information to donors, tracking finances, grants, scholarships and awards for the purpose of documentation in accordance with established departmental practices.
Provides support for signature events (e.g. processing venue agreements, soliciting sponsorships, securing auction items, processing event registrations, ordering sponsorship recognition materials, guest communications, tracking sponsorships, etc.) for the purpose of hosting successful events and cultivating and stewarding financial supporters.
Provides monthly financial activity updates for the purpose of communicating and documenting information in accordance with established practices.
Provides support for fundraising initiatives (e.g. Major Saver, Women's Giving Circle, grand openings, special events, donor recognitions, payroll campaigns, etc.) for the purpose of achieving strategic goals.
Serves as staff liaison to the Grant Committee to include scheduling and coordinating committee meetings, preparing and distributing communication materials and reports for the purpose of ensuring a successful grant cycle.
Serves as staff support to the Finance Committee to include scheduling and coordinating regular and special committee meetings, communicating with financial instructions, Foundation accountant and committee chair for the purpose of providing meeting documents and financial reports.
Serves as staff support to the Board of Directors to include scheduling and coordinating regular and special board meetings, tracking board membership, communicating vital and timely information, providing staff support for the Board Chair and for the purpose of maintaining required records of the Board's deliberations and actions.
Serves as staff liaison to the Foundation's accountant on financial transactions for the purpose of complying with established accounting practices.
Stewards Silver Society donors for the purpose of ensuring recognition, retention, and growth.
Other Functions
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.
Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform single, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: applying assessment instruments; operating standard office equipment; planning and managing projects; preparing and maintaining accurate records; and using pertinent software applications.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; concepts of grammar and punctuation; and safety practices and procedures.
ABILITY is required to schedule a significant number of activities, meetings, and/or events; gather, collate, and/or classify data; and consider a number of factors when using equipment. Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; supervising the use of funds. utilization of some resources from other work units is often required to perform the job's functions. There is some opportunity to impact the organization’s services.
Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. Generally the job requires 60% sitting, 20% walking, 20% standing. This job is performed in a generally clean and healthy environment. Experience: Job related experience is required. Education: Bachelors degree in job-related area.
