About the Role
The Office & Administrative Support Associate provides essential in-office support for a 501c3 nonprofit media organization – National Catholic Reporter Publishing Company. The role is foundational to the efficient operation of the organization, ensuring smooth office functions, reliable technology coordination, and consistent administrative support to leadership and the Board.

 

This position works and communicates across departments, supporting the CEO/Publisher, the Board of Directors, and the advertising and office team, while serving as a point of contact for IT vendors and handling a wide variety of office operations.


Key Responsibilities

Board & Executive Support

  • Serve as administrative assistant to the Board of Directors and Board committees: manage meeting logistics for quarterly board meetings (twice a year in-person / twice a year virtual); update, share and store related Board documents; prepare, schedule and distribute meeting materials; attend meetings; record minutes and track meeting follow-
    ups.

Office & Administrative Operations

  • Act as the in-office backbone of a remote-first publishing company, ensuring efficient day-to-day operations.
  • Support general office coverage, including customer service and cross-training for administrative tasks.
  • Manages shared services subscriptions, including technology subscriptions and expense reporting.
  • Manage incoming/outgoing mail, FedEx shipping, and forwarding as needed.
  • Track and procure office and janitorial supplies; assist with purchase orders and receipts. 

Technology Liaison

  • Act as primary contact with NCR’s IT vendor (ESG), coordinating updates, troubleshooting, and communicating with staff.
  • Maintain technology and laptop inventory, ensuring accurate records of purchases and system IDs.
  • Support special IT-related projects as needed.

Qualifications

  • Bachelor’s degree preferred, or equivalent experience.
  • 3+ years of administrative, office coordination, or related experience.
  • Experience or interest in working in the non-profit or media/publishing space.
  • Technologically savvy; Proficiency in Microsoft Office Suite and Google Workspace; familiarity with Slack, Adobe, and other platforms a plus.
  • Strong organizational, planning, and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to act resourcefully, work independently, and improve processes in a remote-hybrid environment.

Compensation & Benefits

  • Part-time, 25 to 30 hours/week with a flexible schedule during regular business hours (Monday–Friday).
  • Hourly rate in the range of $25-28, commensurate with experience.
  • Benefits available for employees working 24 hours or more per week, including paid time off and paid holidays that fall on designated work-days/hours; health insurance plan options and dental/vision plan coverage; supplemental insurance option (Aflac); and other benefits as outlined in the personnel handbook.
