People Services Coordinator

The People Services Coordinator is a dynamic and detail-oriented position that provides support to the People Services department leadership for a large non-profit organization with 1,200-1,500 associates. This role is a key to driving the Y’s mission forward by providing critical administrative support that ensures the smooth operation of key people support services including training and leadership development, recruitment, associate recognition and other people services support. This position will manage essential processes, from tracking certifications and training efforts to maintaining a digital documentation system. Hiring Range: $17-$19 per hour

Responsibilities: 
  • Training and Leadership Development. Assist in the planning, scheduling, and tracking of training and leadership development programs for associates, ensuring timely completion and documentation.
  • Recruitment References. Manage reference process for candidates and provide administrative support for recruiting.
  • Associate Certifications. Track and manage certifications for associates, ensuring records are up to date and trainer requirements are met.
  • Volunteer Management. Manage the volunteer process including the Volunteer Management System. 
  • YUSA Reporting. Complete monthly and annual  Y-USA reporting for People Services. 
  • Record Management. Maintain and organize digital files and records through the organization's online document management system, ensuring accurate and accessible documentation.
  • Performance Management. Support Performance Excellence process for all associates including distribution of materials, and tracking of goals and annual evaluations.
  • Associate Communications and Engagement. Provide administrative support for associate engagement, communications and recognition.  
  • People Services Support. Assist other People Services team members with duties as needed and during any absences.
  • Data Entry. Perform accurate data entry of assigned human resources paperwork.
  • Special Projects and General Administrative Assistance. Provide administrative support to the People Services department leadership team, including meeting preparation, preparing reports, and a variety of special projects. 
Qualifications: 
  • High school diploma or GED, or equivalent experience. 
  • Advanced computer skills with the ability to quickly adapt to new software, including Microsoft Office (PowerPoint, Word, Excel) and Google Workspace (Docs, Sheets, etc.).
  • Ability to work effectively with diverse groups of people in a friendly and consistent manner.
  • Capable of making independent and sound decisions in a fast-paced environment.
  • Ability to exercise high levels of discretion and maintain confidentiality.
  • Detail-oriented with strong organizational skills and proficiency in multi-tasking.
