Position Title: Events Coordinator
Location: Kansas City Automotive Museum, Olathe, Kansas
Reports To: Museum Director, Works Closely with Development Director
Status: Part-Time, Up to 30 Hours Per week.
Salary: Competitive, commensurate with experience
The Kansas City Automotive Museum (KCAM) is seeking a detail-oriented and motivated Events Coordinator to lead the planning, organization, and implementation of museum events, tours, and field trips. This role plays a vital part in community engagement, education, and fundraising. The Events Coordinator will also be responsible for scheduling volunteers and docents to ensure a high-quality visitor experience at all events and programs.
Plan and manage a wide variety of events, including car shows, educational programs, fundraising galas, and facility rentals.
Coordinate all logistics including timelines, permits, vendors, staffing, and setup/teardown.
Serve as the on-site manager for events to ensure smooth execution and guest satisfaction.
Schedule and manage school field trips and private group tours.
Work with educators to align field trip content with curriculum standards.
Ensure tours are engaging and age-appropriate, providing necessary materials and information to docents or staff.
Recruit, train, and schedule volunteers and docents for tours, events, and educational programs.
Maintain clear communication with volunteers and provide ongoing support and recognition.
Ensure volunteers and docents are well-prepared and represent KCAM's mission professionally.
Build and maintain relationships with local schools, car clubs, businesses, and community organizations.
Collaborate with the Development Officer on event sponsorships and partnerships.
Represent the museum at external functions and meetings when appropriate.
Collaborate with the marketing team to develop event and program promotions.
Create and manage event content for the museum website, newsletters, and social media.
Maintain records for events, tours, volunteers, and budgets.
Evaluate the success of events and tours and recommend improvements.
Assist the Executive Director and other staff as needed with program administration.
Bachelor's Degree or 5+yrs experience in Event Management or related fields. Experience in a nonprofit setting is a plus.
Strong interpersonal and communication skills with the ability to manage diverse groups.
Experience scheduling and managing volunteers.
Excellent organizational skills and attention to detail.
Proficiency in Google Workspace, Microsoft Office; experience with scheduling or CRM software is a plus.
Flexible schedule with occasional availability on evenings and weekends as needed.
Interest in automotive history and community education is a plus.
