Salary Range: $50,000 - $55,000 per year (DOE)

Position Overview
IAPD is seeking a Meetings & Events Coordinator to support the planning and execution of meetings, conferences and events that further our mission and serve our members. This position is a strong fit for someone early in their meetings career who is eager to gain meaningful, hands-on experience in industry association event planning.
This is a highly administrative position that involves managing logistics, tracking event data, coordinating communication and supporting in-office and on-site event execution. The ideal candidate is detail-oriented, organized and comfortable managing timelines and information behind the scenes. They should be looking to build skills and contribute in a supportive, fast-paced professional setting.
The Meetings & Events Coordinator will act as a key point of contact in the IAPD office, especially when the Director of Meetings & Events is traveling. While this position includes some travel, the majority of time will be spent working from the IAPD headquarters in Overland Park, Kansas.

Key Responsibilities
  • Assist in planning, coordinating and executing 30+ conferences, regional meetings and virtual events, annually
  • Serve as a key administrative support resource for the Director of Meetings & Events
  • Manage event logistics including contracts, vendor communication, food and beverage planning, AV and printing/shipping coordination
  • Provide excellent customer service to members, sponsors, exhibitors and speakers both on-site, and in the office, during event preparation periods
  • Track event data using tools such as Excel, CVENT (event management software), and iMIS (association management system)
  • Assist in the creation of agendas, speaker communications, event emails and post-event surveys
  • Prepare weekly reports, maintain records and manage digital files for all meetings and events
  • Travel to multi-day, out-of-state events (approximately 4–6 times per year) to assist with on-site logistics and registration
  • Serve as the in-office point of contact for the Meetings & Events Department while the director is traveling
  • Serve as a co-liaison to IAPD committees and task forces as needed, helping with scheduling, minutes and communications

Qualifications & Skills
  • 2 years minimum of professional administrative, customer service and/or meeting/event planning experience
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Experience with or willingness to learn CVENT, iMIS or other CRM/event software
  • Excellent attention to details, as well as time management and organizational skills
  • Strong communication skills and emotional intelligence, including comfort with professional email and phone communication
  • Self-starter who can simultaneously manage multiple projects and meet project deadlines
  • Willingness to travel out of state (overnight, 1–5 days per trip) several times per year. Travel is required to support busy, on-the-ground event execution and should not be considered a leisure or networking perk
  • Experience in an association, nonprofit or member-based organization is a plus
