Chappelow Events (CE) is seeking a full-time Marketing Coordinator to join our small, tight-knit event planning team. This role is an exciting opportunity for an emerging professional who possesses a collaborative nature, strong organizational skills, copywriting skills, social media savviness, creative problem solver and ability to function both independently and in a team environment.
In close coordination with the Creative Director, the Marketing Coordinator will support marketing efforts as it relates to copywriting and execution. This includes coordinating client marketing timelines and communications, drafting email marketing campaigns, overseeing select social media accounts, drafting summaries for onsite materials, and coordinating media for event days.
COMPANY MARKETING & COMMUNICATIONS COORDINATION
Lead all social media efforts for the company at the direction of the Creative Director.
Collaborate with the Creative Director on creative campaign strategies and goals.
Implement all social media strategies and campaigns. Create copy for posts, request graphics required to produce posts (or design yourself depending on complexity). Confirm approval by the President, Vice President and Creative Director before posting.
Manage the content calendar and post all digital media content.
Provide a plan for each event outlining goals for social media b-roll and photo captures and any creative campaigns that need to be executed while onsite at an event.
Assist Creative Director with updates to the CE website.
Coordinate and assist with drafting quarterly newsletter for Chappelow Events (email distribution).
MARKETING & COMMUNICATIONS - CLIENT EVENTS
Lead the implementation and coordination of event marketing efforts for all clients/events at the direction of the Creative Director.
Lead the development of event marketing timelines for each event including an outline of all content needs. Within the outline, provide suggested copy (and incorporate graphic suggestions from the CD), as follows:
Save the Date email; Digital Invitation (will also provide support for a printed invitation when clients add this a la carte); Pre-Event Marketing Emails + Know Before You Go content (approx 10-12 total emails should be outlined in what we provide to clients + final email for volunteers); Social Media Campaigns - campaign ideas will be developed in collaboration with the Creative Director. The CD will be responsible for producing a deck that outlines these campaigns and presenting them to the client.
Send bi-weekly marketing touchpoints to clients and the CE team to track upcoming deliverables, progress to date on outstanding projects, etc…
Support the CD in marketing execution discussion with select clients once the timeline has been established.
Elements of marketing and communications scope to include:
Event Websites:
Provide content outline and copy for all Event Websites using the brand voice of each client/event..
Collaborate with the Creative Director and Digital Registration Specialist on the needs for each event site. The Digital Registration Specialist will then implement the build of the site (building it directly in the required platform or working with any relevant vendors involved in site development).
Onsite Materials:
Copy development for the following onsite materials:
Provide the copy for the following materials as outlined by the Creative Director. A graphic designer will be assigned to complete the design phase, following the copy development phase.
Signage
Event Programs
Assist with final copy review of all materials before they are sent to print.
Email Marketing:
For select clients with additional contracted services, the Coordinator will assist with:
Full copy writing for emails.
Building and sending emails on behalf of clients.
Working with clients on email list development and management.
Lead the development and coordination of social media for select clients.
As the Creative Director provides content and campaign strategy, the Coordinator will then implement as follows:
Write all caption copy for assigned clients/events.
Organize the content calendar and manage posting for assigned clients/events.
Manage direct messages and comments on assigned client/event accounts.
ONSITE + POST EVENT RESPONSIBILITIES
Capturing content at all events for company and client use.
Posting story content in real time with appropriate client/vendor tagging.
Leading the effort onsite at events to capture additional content from CE team members for company social media campaigns.
Organizing photography post event (phone content + professional files received from photo/video teams).
This role will also be called upon to fill in gaps as needed depending on the structure and goals of each event. This could mean support at registration, backstage, with volunteers, etc…
Salary Range: $44,000 - $48,000 depending on experience
Preferred Skills and Qualifications:
Bachelor’s degree in marketing, communications, or related field.
Exceptional verbal and written communication skills.
Event experience preferred, but not required.
Highly organized, professional, self-starter.
1 year of experience in copywriting (professional or relevant internship).
1 year of experience in marketing coordination (professional or relevant internship).
Proficiency in Microsoft Office Suite and Google Business Suite (docs, sheets, forms, etc…) required. Experience in Canva and Adobe Creative Suite preferred.
Knowledge of how to use and optimize features across various platforms (e.g., Instagram, TikTok, LinkedIn).
Willingness to learn and stay updated on evolving trends, algorithms, and new social media platforms.
Schedule and Benefits
Our small company does not have a physical office space, so the majority of our work is done
remotely from our own homes, at the home of our President, or at our favorite coffee shops. We
work independently and also collaboratively on a weekly basis. Monday afternoon is generally
reserved for team meetings. Tuesday mornings are for individual meetings with company
leadership. Wednesdays and Thursdays tend to be filled with client meetings and we try to keep
Fridays for independent work projects. This is subject to change based on the event schedule.
We also offer flexible scheduling. Which means that as long as you are available for scheduled
client meetings and company meetings, you can complete other work tasks at the time of day
that works best for you. Some tasks will require daytime attention, while others can be done at
night. Our team connects regularly to prioritize task work to ensure this flexibility remains
beneficial to team members and our clients. This is a full time position with a typical 40-hour
work week, though some weeks will require additional hours because of on-site event work. The Marketing Coordinator will be expected to provide their own laptop and their own transportation.
