Summary: The Administrative Assistant serves as the first point of contact for visitors, callers, and staff, providing professional customer service and maintaining an organized front desk environment. This role also provides administrative support to the C-Team and works closely with the Executive Assistant to help coordinate schedules, meetings, and other office operations as needed.
Essential Duties and Responsibilities
Front Desk & Customer Service
- Welcome and assist visitors in a professional and friendly manner.
- Answer, route, and manage phone calls, emails, and inquiries efficiently.
- Monitor building access, including security cameras and visitor check-ins.
- Maintain a clean, organized, and well-stocked reception area.
- Assist with incoming and outgoing mail and deliveries.
Administrative Support
- Collaborate with the Executive Assistant to provide clerical and administrative support to the C-Team, including scheduling meetings, preparing materials, and coordinating meeting spaces.
- Assist the Executive Assistant with calendar management, internal communications, and office coordination.
- Serve as a primary contact between visitors, staff, and the executive team.
- Prepare and distribute documents, correspondence, and other materials as needed.
- Support event preparation and on-site coordination for internal and external meetings.
- Maintain office supplies and coordinate with facilities or IT for equipment and meeting setup.
- Attend GCI events as needed to provide administrative or on-site support.
Other Duties
- Perform other duties as assigned to support the C-Team and office efficiency.

Qualifications:
- High School Diploma required; Associate degree or higher preferred.
- Bilingual in English and Spanish required.
- 1–2 years of experience in administrative, reception, or office support roles preferred.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Professional demeanor with strong customer service orientation.
- Availability to work occasional evenings or weekends as needed.
- Ability to pass a background and drug screening.
- Ability to work in a non-judgmental way with a diverse range of people, maintaining a respectful and inclusive culture.
- Reliable transportation required.
Work Environment:
This role operates in a professional office setting. Guadalupe Centers serves a diverse community, including individuals with mental or behavioral health issues.
