Financial Management & Compliance
Maintain robust accounting policies, procedures, and internal controls
Ensure compliance with federal/state regulations and GAAP financial reporting and Agency standards
Oversee all accounting operations, including monthly close process; active participant in understanding and performing all accounting operations
Manage annual budgeting process and provide variance analysis by engaging the leadership team
Coordinate external audits and maintaining required licenses/permits
Oversee Medicaid waiver billing accuracy and compliance; perform monthly and quarterly analysis to ensure compliance and CARF standards; maintain billing spreadsheets for internal and external controls monitoring and forecasting client budgets
Supervise and train accounting support staff
Accounting Operations
Manage all aspects of QuickBooks accounting system, including:
Review accounts payable and receivable entries using standard QBO reports
Oversee cash handling processes and procedures
Review and process biweekly payroll and Simple IRA deferrals with coordinating journal entries; includes analysis of payroll to timekeeping system entries and the Agency budget by running Labor Distribution and other reports
Monthly close process and journal entries for depreciation and fixed assets
Perform bank reconciliations and cash management
Integration and analysis of QBO to point-of-sale, donor management, and other systems
Fixed asset tracking and depreciation
Operating Lease calculations
Track projects and establish grant tracking for new grants; NAP audit coordination
Process and review monthly financial reporting for:
Executive Director, Directors and Department Managers
Finance Committee and Board of Directors
Grant requirements and special projects as needed
Annual Audit and 990 monthly preparations. Manage relationship with external auditors and regulatory bodies
GAAP audit
CARF accreditation
Be able to use systems such as Suralink to upload and download documentation
Proficient in basic Microsoft Excel functions required, including:
Creating and maintaining spreadsheets for financial tracking and reporting
Working with simple formulas and basic calculations
Formatting data for readability and presentation
Sorting and filtering data
Creating and interpreting basic charts and graphs
Revenue & Treasury Management
Oversee donation/grant processing, budgets and tracking
Monitor and reconcile revenue streams (monthly market sales, special events, grants)
Complete accounting tasks related to TFH investment portfolio including brokerage accounts, CDs, stock donations with Finance Committee oversight
Research, implement and maintain credit card processing systems related to expense reporting automation (Expensify for example)
Supervise cash handling procedures and internal controls
Payroll & Benefits Administration
Oversee and process biweekly payroll with Lever1/ payroll provider
Work with HR/ED on researching and establishing salary banding
Ensure employee benefit programs and deductions are accurate
Process Edward Jones retirement contributions
Analyze and administer accounting functions related to health insurance and other benefit programs
Assist Executive Director in reviewing PEO benefit options
Work with the Administrative Manager and PEO to roll out benefits to staff during open enrollment
Technology Systems & Process Improvement
Analyze, maintain and implement new and existing financial software integrations for:
CIMOR (Client Information Management and Outcome Reporting) / Missouri Buys
Lightspeed POS
Salesforce
GiveSmart
Credit card processing systems such as Square and Expensify
Develop automated solutions for financial reporting and analysis
Maintain documentation of all financial processes and procedures
Property & Risk Management
Assist the Executive Director with overseeing facility leases and property maintenance
Prepare and monitor capital budgets with the Leadership team
Assist Executive Director in reviewing and selecting insurance policies (liability, E&O, D&O, umbrella, auto)
Manage risk assessment and mitigation strategies
Competencies:
Advanced knowledge of non-profit accounting principles and GAAP
Strong financial analysis and strategic planning capabilities
Excellence in budgeting, forecasting, and variance analysis
Possesses fundamental technical aptitude necessary to learn and adapt to new financial systems and digital tools as required for effective management of accounting operations
Advanced experience with QuickBooks Online and financial software integration
Proficient in basic Microsoft Excel skills, including spreadsheet creation, simple formulas, and data formatting for financial tracking and reporting
Superior verbal and written communication skills
Strong leadership and staff development abilities

Supervisory Responsibility:
Responsible for the supervision, management and professional development of accounting support staff.
Work Environment:
This position operates primarily in a professional office environment with occasional community presence. Regular use of standard office equipment required. May be exposed to blood borne pathogens and/or infectious diseases.

Position Type/Expected Hours of Work:
Full-time, exempt.
Requiring attendance at monthly board meetings and special events outside of standard business hours.
Travel:
Regular travel between TFH locations and within the community required.
Must have reliable transportation.
Required Education and Experience:
Bachelor’s Degree in Accounting, Finance, or related field
Minimum of 5 years accounting experience.
Demonstrated proficiency with Quickbooks
Demonstrated proficiency in Microsoft Excel spreadsheets
Experience with financial reporting and analysis
Knowledge of non-profit accounting principles
Preferred Education and Experience
Non-profit accounting experience including grant management
Experience with Medicaid billing and compliance
Background in system integration and automation
Experience with the Google platform
