Job Goal: The lead role of Administrative Assistant in Athletics is to carry out all administrative and clerical duties for the smooth and efficient daily operation of the Athletic Department.
Job Description: The Athletic Administrative Assistant is vital to the functionality of the Athletic Department by providing effective communication and reporting between the coaches, athletic director, officials, opposing school administrators and The Barstow School community of students, parents, faculty, staff and administrators. Many responsibilities are performed daily, while some are performed weekly.
Responsibilities:
- Administrative support to the Athletic Director by answering phone calls, managing daily/weekly athletic schedules, maintaining correspondences by email, and communication to all school outlets.
- Update final scores, official information and contest information on the Barstow and MSHSAA websites each day.
- Input and manage all student-athlete information to the Barstow, MSHSAA and PRIVIT websites throughout the school year. Management of these websites is performed daily.
- Input and manage all middle and upper school athletic schedules on the Barstow and MSHSAA websites. Management of these websites is performed daily.
- Daily correspondence to faculty and administration about student-athlete dismissal and departure times.
- Weekly email correspondence and confirmation of all game staff and officials.
- Assist in distribution and collection of all sports team uniforms each season. This includes email correspondence to players and parents concerning uniform related issues.
- Manage all arrangements for special athletic events such as Senior Night, student orientation days, Pink Out Night, and Athletic Awards Ceremony.
- Confirm all home and away contests for middle and upper school teams each week before the event.
- Reserve buses and vans for all middle and upper school team transportation and communicate daily with the director in charge of the Barstow fleet.
- Send and receive team rosters for all home and away team sports contests.
- Requisition checks from the Business Office for all fees related to regular season contests, tournaments, meets and matches.
- Maintain department office equipment; anticipate needs and order office supplies.
- Attend school and athletic special events such as fundraisers, orientations, open houses etc.
- Represent the Athletic Department at all school calendar meetings.
- Other duties as deemed necessary by the Athletics Director.
Terms of Employment: Salary and work year are determined by the administration of The Barstow School based on the current year policies.
Evaluation: Performance of this job will be evaluated annually in accordance with provisions of the Athletic Department and The Barstow School administration’s policy on evaluation of noncertified staff.
