Executive Assistant/Office Manager

The Transition Academy (TTA) is a disability college and career preparation center established in 2019. Our mission is to make economic inclusion a reality for youth with disabilities, especially for young people of color who have historically been failed by systems.

Since 2019, TTA has worked to meet youth with disabilities and families where they are,  help them explore their interests, talents and skills, and connect them to workforce and postsecondary pathways. TTA is based at Central High School and works primarily with Kansas City Public Schools and charter schools.

The Transition Academy is seeking a highly organized, proactive professional who is excited about providing exceptional administrative support and office management to a growing organization.

 

Executive Assistant/Office Manager

The Executive Assistant/Office Manager plays a dual role within the organization, providing high-level administrative support to the executive team and ensuring smooth and efficient office operations. This individual will manage daily office activities, assist in organizational communication, oversee special projects, and handle confidential information with discretion. This individual will be supervised by the Operations Director.

Executive Support and Office Management Job Responsibilities

Board Duties

  • Create and distribute board agenda. Attend board meetings and write board minutes.

  • Distribute meeting packets and correspondence to board members in advance and at meetings. TTA Board Meetings are held quarterly. There are additional meetings for committee work, boarding training/education, etc.

  • Plan and execute all areas of board meeting logistics (i.e. send out meeting notifications and correspondence to board members, reserve meeting space, order food and supplies, invite attendees, coordinate agenda with CEO).

CEO

  • Manage CEO calendar

  • Schedule meetings with internal team, external constituents, and groups.

  • Plan travel.

  • Act as liaison between CEO, accounting services, and HR to ensure receipts are submitted, documents are completed and processes are followed.

  • Coordinate senior leadership and leadership meetings (i.e. schedule and notify attendees, and create agendas).

 

Office Management Job Responsibilities

 

Real World Learning Team

  • Provide operational support in the classrooms as needed

  • Other miscellaneous duties as assigned

Salesforce Data Entry and Data Management (Customer Relationship Management)

  • Supporting Grant and Fundraising entries (i.e., contact, opportunities, and accounts).

  • Maintain the Operation and Programming Handbook to align with best practices and CRM workflow. 

  • CRM Training staff members in a small or 1:1 setting 

  • Other miscellaneous duties as assigned

Staff

  • Plan all-staff meetings and celebrations (i.e. take notes, brief staff, and plan staff retreats)

  • Answer external inquiries via website, phone, social media, etc., and route them to appropriate staff members using TTA project management (Monday.com).

  • Order office supplies, track inventory, and support printing requests.

  • Pick up mail and distribute it to appropriate personnel.

  • Collaborate with the Finance Team on purchases and reimbursements, and related.

  • Administrate TTA Team Calendar (Google Calendar).

  • Review and update The Transition Academy Operational and Programming Handbook.

  • Maintain the Google Shared Drive by organizing files in an intuitive and efficient manner.

  • Other miscellaneous duties as assigned

 

Desired Qualifications:

  • Bachelors degree in Communications, Business, Non-profit Administration or related. 

  • Proven Experience: At least 2–4 years of experience as an Executive Assistant, Office Manager, or in a similar high-level administrative role, preferably within a non-profit setting. 

  • Technical Proficiency: Advanced skills in Google Workspace (Calendar, Drive, Docs, Sheets) and experience with project management tools like Monday.com.

  • CRM Expertise: Hands-on experience with Salesforce or a similar CRM; ability to manage data entry, pull reports, and train others on system workflows.
     

Salary Range: $50,000 - $60,000
