Position Overview:
HopeBUILDERS Home Repair is seeking a dedicated and organized individual for a full-time position focusing on administrative tasks related to programs. This role is essential in supporting our mission to provide accessibility modifications and critical home repairs for older adults and people with disabilities in the greater Kansas City area. The Program Specialist focuses on administering phone and email intake, onboarding newly referred clients, assisting with the client qualifying process, communicating with clients during program participation, collaborating with other
team members on budget allocations, closing out client projects, and assisting with requests for grant reimbursements. The position’s priority is to provide a premier experience to all clients.

Key Responsibilities:
Client Intake and Management (90%)
- Manage the entire intake process, including:
    - Answering phone calls and emails
    -  Accessing eligibility and qualifications
- Includes financial qualifications and coordinating with the internal team on
budgets.
- Includes managing HUD and other federal funding intake requirements
    - Managing follow-ups as needed
    - Providing exceptional and thoughtful customer service
    - Filing paperwork accordingly and accurately
    - Communicating and collaborating regularly with the Program Director
    - Manage SafeHEAT program
- Identify clients and invite them to participate
- Track data and close out projects
    - Managing final client sign-offs as needed
    - Ensure appropriate records are created, including the creation of a client photo album for each client
    - Send surveys to clients at project completion; process returned surveys.
- Includes updating and improving the process
- Tracking and reporting on falls and other relevant data regularly
- Collaborate with the marketing coordinator to create client stories.

Program Administration (10%)
- Assisting the Program Director with administering programs, including:
    - Meeting with clients at their houses during visits and assessments
    - Managing all client correspondence during program administration and close-out
    - Assisting with obtaining and submitting required documentation for HUD and Federally
       funded programs

Requirements:
- Previous experience with administering HUD and Federal Grants, including client qualifications process, paperwork    and grant reimbursements
- Reliable vehicle and valid driver’s license for local travel (Kansas City Metropolitan area)
- Previous experience visiting and working with clients in their homes
- Previous experience working directly with diverse clients

Responsibilities of the position include travel to communities all over the greater Kansas City Area for the purpose of client intake, program administration, and to share our mission. The role will also actively participate in team meetings, strategic planning efforts, board meetings, and other committee meetings that take place in person and virtually.  All staff are an integral part of fulfilling our mission and goals.

Salary Range:
- $45,000 - $50,000 commiserate with experience.
