Position Summary:
The Donor Services Operations Specialist performs donor transaction processing, reconciliation, and financial support activities. This role handles more complex transaction types while following established procedures and escalating issues as needed.



Responsibilities:

Payment Processing & Data Accuracy 
  • Process donor payments from multiple sources and ensure accurate entry into CRM and financial systems
  • Assist in the maintenance of daily deposit logs and payment batches
  • Review and validate transactions for completeness and proper allocation on assigned payment batches
  • Prepare and import payment files assigned
  • Identify discrepancies and escalate issues as appropriate
  • Attach complete backup to all payment batches
Reconciliation & Transaction Support 
  • Perform routine reconciliation of payment batches and deposit activity
  • Assist in identifying and researching discrepancies
  • Support documentation of transactions and corrections
  • Escalate unresolved or complex variances
Donor Support & Communication 
  • Respond to donor and internal inquiries related to payments and accounts
  • Support donor communications including statements and acknowledgments
  • Escalate complex or sensitive inquiries
  • Monitor assigned inboxes and route inquiries appropriately
Special Assignments - Financial Operations
  • Process opportunity and payment adjustments, corrections, and write-offs in accordance with policy
  • Prepare and review donor billing statements and related outputs
  • Process non-standard or special transactions following established procedures
  • Perform month-end reconciliation of pledge payments and related activity
  • Assist in researching transaction discrepancies and documenting findings

Requirements
Qualifications:
  • Education: Associate degree or equivalent experience preferred.
  • Professional Experience: 2-3 years of experience in finance support, accounting operations, or transaction processing.
Metrics of Success
  • Process daily deposits timely resulting in on time month end closing and donor billing statements.
  • Process daily deposit transactions accurately resulting in fewer adjustments and more accurate real-time financial reporting and easier month end reconciliations.
  • Timely resolution of donor and internal staff inquiries resulting in improved donor satisfaction and internal team collaboration.
