We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to join our team. This role is ideal for a self-starter who enjoys working in a dynamic, entrepreneurial environment where no two days are the same.
 
 
Position Overview
The Administrative Assistant plays a key role in ensuring smooth operations at the Ennovation Center. This position involves executive support, administrative assistance, facility coordination, financial recordkeeping, compliance oversight, and communications management.
 
The ideal candidate is adaptable, tech-savvy, and able to work independently while collaborating with entrepreneurs, corporations, universities, school districts, and economic development organizations.
 
This role also provides valuable career development opportunities, including networking with community leaders, entrepreneurs, and economic development professionals. Additionally, there are opportunities for career advancement within the Ennovation Center as the organization grows.
 
 
Key Responsibilities
Executive Support & Administrative Assistance

  • Provide direct administrative support to the Executive Director, including managing calendars, scheduling meetings, and handling correspondence.
  • Assist in preparing reports, presentations, and board meeting materials.
  • Assist in conducting research and compile data for projects, grant applications, and business development initiatives.
  • Help coordinate and maintain records of partnerships, sponsorships, and community collaborations.
  • Take meeting minutes and follow up on action items as needed.
  • Serve as the first point of contact for inquiries directed to the Executive Director.
 
Administrative Support & Financial Recordkeeping
  • Maintain accurate accounting records using QuickBooks.
  • Assist in creating and managing board packets, presentations, and reports in collaboration with the Executive Director and staff.
  • Organize and maintain files, records, and databases for client companies and internal operations.
  • Coordinate quarterly newsletters and communications for stakeholders.
 
Facilities Coordination & Compliance Oversight
  • Manage facility-related tasks, including placing repair requests, tracking maintenance needs, and distributing keys/keycards.
  • Maintain inventory of office and facility supplies.
  • Ensure the smooth operation of shared workspaces and equipment.
  • Along with staff, ensure that commercial kitchens and laboratories meet FDA and Health Department standards, including compliance with safety, sanitation, and food handling regulations.
  • Assist with facility inspections and maintain up-to-date compliance records.
 
Communications & Event Coordination
  • Help oversee the Ennovation Center’s social media presence across Facebook, Instagram, X (formerly Twitter), and LinkedIn.
  • Event Support: Assist in planning and organizing Ennovation Center events, which may occasionally take place during evenings and weekends.
  • Represent the organization at meetings, networking events, and partner discussions as needed.
  • Engage with community leaders, business professionals, and policymakers to support economic development initiatives.
 
Additional Responsibilities
  • Work with high school interns, providing guidance and support.
  • Adapt to changing priorities—no two days are the same!
  • Perform other duties as assigned to support the Ennovation Center’s mission.
 
 
Qualifications & Skills
Required:
  • Strong organizational, interpersonal, and communication skills.
  • Ability to work independently and multitask in a fast-paced environment.
  • Experience managing calendars, scheduling, and administrative tasks for leadership teams.
  • Some proficiency in QuickBooks for accounting and financial recordkeeping.
  • Proficiency in Google Workspace (Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint).
  • Experience managing social media (Facebook, Instagram, X, LinkedIn).
 
Preferred:
  • Experience working with entrepreneurs, businesses, municipalities, nonprofits, or economic development organizations.
 
 
Compensation & Benefits
  • Salary Range: $35,000 - $40,000 (commensurate with skills and experience).
  • Work Schedule: 35-hour workweek with a flexible schedule, including the option for a 4-day workweek. Some evening and weekend hours may be required for events.
