RESPONSIBILITIES
The Operations Coordinator plays a key role in supporting the day-to-day operations and administrative functions of the ProX summer internship program. Reporting directly to the Director of Program Operations, this position oversees a range of logistical, administrative, and office management tasks to ensure the program runs efficiently. This role includes managing operational schedules, program and event logistics, and supporting cross-functional teams, ensuring smooth program delivery and a positive experience for all stakeholders.
 
Specific Responsibilities include: 

 
  • Provide daily administrative support to the ProX leadership team by managing calendars, scheduling meetings, and coordinating team-wide engagements.
  • Process invoices, expense reports, and purchase orders for the operations team, ensuring timely payments and accurate record-keeping.
  • Manage the setup and logistical coordination of program events, including orientations, hiring fairs, mixers, workshops, and the end-of-program showcase.
  • Manage incoming and outgoing communications, including emails, phone calls, and correspondence, ensuring timely responses and proper documentation.
  • Support the logistics of key program events, including securing venues, coordinating materials, managing vendor relationships, and ensuring smooth event execution.
  • Assist in maintaining organized filing systems for program records, communications, and operational documents.
  • Handle office supply inventory and program-related purchases, ensuring essential materials and resources are available when needed.
  • Assist the ProX leadership team with planning, execution, and evaluation of all operational components of the ProX program.
  • Support the onboarding and training of program staff, including coaches and lead coaches, by providing operational resources and facilitating access to necessary tools and platforms.
  • Serve as the point of contact for event-related logistics, troubleshooting issues during events, and ensuring efficient operations.
  • Work closely with program staff to align event logistics with program goals and ensure a high-quality experience for participants.
  • Manage the inventory of program materials, such as participant handbooks, onboarding kits, and event supplies, ensuring timely distribution to coaches, students, and employers.
  • Assist in developing and maintaining a digital resource repository for staff, ensuring easy access to essential tools, guides, and templates.
  • Regularly communicate updates to program schedules, events, and processes to ensure all stakeholders are well-informed.
  • Cultivate and maintain relationships with key stakeholders including employers, educational institutions, community organizations, and government agencies to enhance program offerings and opportunities for participants.
  • Update standard operating procedures (SOPs) for program execution, as needed.
  • Support the management of external contractors and the RWI vendor procurement process.
  • Generate reports as needed.
 
EDUCATION AND EXPERIENCE
 
Education: Bachelor’s degree preferred or equivalent combination of education and/or years of experience in the field of education or non-profit leadership.
 
Work Experience: At least two years' experience in program or project management, strategic planning, operations management, continuous improvement, and/or innovation
 
Travel: This position may require routine business travel within the Kansas City region.
